Viszio Workspace — Privacy Policy

This policy explains what the Viszio Workspace mobile and web apps collect, how it is used, and how you can control it. It is written for Ghana's Data Protection Act, 2012 (Act 843).
1. Who is responsible
Viszio Workspace is a workplace tool. Your employer (the company that created your account) decides what your information is used for — they are the data controller. Viszio Technologies runs the service for them as a data processor and uses the information only to provide Viszio Workspace.
2. Information we collect
- Account data: your name, username, email and phone number (if provided), role, and the company you belong to.
- Employment data your employer records: job title and, if they use these features, pay details such as salary, SSNIT number, TIN and Ghana Card number.
- Work records: clock-in and clock-out times, breaks, daily site reports, field visits, tasks, safety inspections, expense and transport claims, and photos you attach.
- Location at clock-in and clock-out: your phone's position when you clock in or out (your employer can require this), stored with that attendance record, so it can be checked against the project site.
- Live location — only if you switch it on: see section 3.
- Device data: an Expo push-notification token (a random string for your device), the app version and the OS version.
- Security records: a log of important actions, failed sign-in attempts (to lock out password guessing), and who viewed staff locations.
Viszio Workspace does not collect your contacts, microphone audio, browsing history, data from other apps, or advertising identifiers. We do not sell your data or use it for advertising.
3. Live location sharing (opt-in)
- It is off until you switch it on yourself in My Profile. An administrator cannot switch it on for you.
- The first time, the app explains how your location is used and asks for your agreement; the date and wording you agreed to are recorded.
- While it is on, the app sends your position about every 30 seconds — also when the app is closed — and your phone shows a notification that sharing is active.
- Your company's managers, and colleagues on the same project, can see your position, your route for the day, speed and battery level, to coordinate field work and verify attendance.
- You can switch it off at any time, without approval. Your managers are notified that you switched it off.
- Live-sharing positions are deleted after 7 days. Clock-in and clock-out positions stay with the attendance record.
- Under My Profile → Who viewed my location you can see who looked at your location, and when, for the last 60 days.
4. How the data is used
- To run the features your company uses — attendance, projects, field visits, reports, claims, safety.
- To notify you (in the app, by push notification, email or SMS) about assignments, approvals and reminders, and to send you your sign-in details when your account is created.
- To give your employer reports on their own operations, and flags for them to review (late or off-site clock-ins, unusual claims, possible buddy-punching).
- Optional AI features: if your company uses them and you choose to, text you write or a photo you submit is sent to the AI provider to draft text or describe the photo.
5. Where the data lives
Viszio Workspace runs on Cloudflare. Each company's records are kept in a separate database, isolated from every other company. All connections are encrypted (HTTPS); passwords are stored only as bcrypt hashes; access is checked on every request.
6. Service providers
- Cloudflare — hosting, databases and file storage.
- Expo / EAS — app delivery, over-the-air updates and push notifications.
- Google Firebase Cloud Messaging — delivers push notifications to Android phones (it receives the notification text and your device's notification token).
- Resend — sending account emails (sign-in details, password resets, reports).
- Google (Gemini) — only when an AI feature is used (section 4).
- Your company's SMS provider (e.g. mNotify, Arkesel, Hubtel) — only if your company switched SMS on.
No other third parties receive your data.
7. Retention
Your data is kept while your employer uses Viszio Workspace, or until they delete it. Nightly backups are kept for 14 days. If a company leaves, its data is archived (so it can be restored at the company's request) rather than destroyed, and is permanently deleted when the company asks.
Individuals: ask your employer first — they control your records. You can also email [email protected]; we will pass the request to your employer and help them act on it.
8. Your rights
- Ask for a copy of the personal data held about you.
- Ask for inaccurate data to be corrected.
- Object to, or ask to limit, how your data is used, and ask for deletion — subject to your employer's legal record-keeping duties.
- Switch off live location sharing at any time; turn off push notifications in your phone's settings.
9. Children
Viszio Workspace is a workplace tool and is not directed at children under 16.
10. Security incidents
If you believe your account or data has been compromised, contact your employer and [email protected] immediately.
11. Changes
We may update this policy as the app evolves; the date at the top shows the latest change. Material changes are announced in the app, and the location-sharing agreement is asked again if its wording changes materially.
