Viszio Workspace — Terms of Service

These terms are an agreement between Viszio Technologies ("we") and the company or organisation that uses Viszio Workspace (the "Customer"). The person who accepts them in the app confirms they are authorised to do so for the Customer. The Data Processing Agreement and the Privacy Policy form part of these terms.
1. The service
Viszio Workspace is an online workforce tool — a web admin and a phone app — for attendance, field visits, site reports, claims, leave, projects, safety inspections and related work. We may improve, change or retire features over time; we will give reasonable notice before removing anything the Customer relies on.
2. Accounts and users
- The Customer's owner and administrators create logins for their staff and decide what each person may see and do.
- The Customer is responsible for everything done under its logins, for keeping passwords private, and for removing people who leave.
- Tell us straight away at [email protected] if you suspect a login has been misused.
3. Trial, subscription and payment
- A new company may start with a free trial (currently 30 days). No payment details are needed for the trial.
- After the trial, the service is paid for in advance for the period agreed (monthly or yearly), at the price agreed with the Customer, in Ghana cedis. Payment can be made by Mobile Money, bank transfer, cash, cheque or card. We issue a numbered receipt for every payment.
- If a period ends unpaid, there is a 7-day grace period. After it, staff can no longer sign in; the owner can still sign in to view and download the company's data until the subscription is renewed.
- Payments are not refunded for unused parts of a period, except where Ghanaian law requires it.
- We may change prices with at least 30 days' notice; the new price applies from the next period.
4. Acceptable use
The Customer and its users must not: break the law using the service; upload content they have no right to; try to access other companies' data or our systems without permission; test the service's security without our written agreement; overload or disrupt it; or resell it without our written agreement. Location features must be used only for legitimate work purposes and with the employee's knowledge, as the app's consent screens require.
5. The Customer's data
- The Customer owns its data. We use it only to provide the service, as set out in the Data Processing Agreement.
- The owner can download all of the company's data at any time (web admin → Data Export).
- The Customer is responsible for having a lawful basis for the personal data it puts into the service, including telling its staff how it is used.
6. Ending the service
- The Customer can stop at any time by not renewing, or by asking us to close the account.
- We may suspend or end the service for serious or repeated breach of these terms or for non-payment after the grace period, with notice where reasonable.
- When an account is closed, the company's data is archived (so it can be restored if the Customer changes its mind) and is permanently deleted within 30 days of a written request from the owner. Nightly backups are overwritten within 14 days after that.
7. Availability and support
We work to keep the service available and secure, and publish its live status at status.visziotech.com. We do not promise uninterrupted availability; maintenance and outages of our providers can happen. Support is by email at [email protected], usually answered within one business day.
8. Liability
The service is provided as described, with reasonable care and skill. To the extent the law allows, we are not liable for indirect or consequential loss (such as lost profit or lost business), and our total liability in any 12 months is limited to the fees the Customer paid us in the 3 months before the claim. Nothing here limits liability that cannot be limited under Ghanaian law, including for fraud.
9. Changes to these terms
We may update these terms. For material changes we give at least 30 days' notice in the app or by email, and the owner is asked to accept the new version. If the Customer does not agree, it may stop using the service before the change takes effect.
10. Law and disputes
These terms are governed by the laws of the Republic of Ghana. We will first try to settle any dispute by discussion; failing that, the courts of Accra have jurisdiction.
